Microsoft Teams Updates and Retention Policy

As we move toward a more adoptable version of Microsoft Teams, New Signature is focused on purveying all updates as Microsoft rolls them out. Over the past quarter, there have been many useful additions to the Teams space, as well as the development and implementation of retention policies for the Teams client. These retention policies allow administrators to control and regulate the lifecycle of content to the specific business needs.

Let’s break down the details of the most-recent Teams updates: 

  • Teams Retention Policies:
    As the volume and complexity of data increases—from email and documents to IMs and more—it’s essential for businesses to mange and govern exchanged content within the Teams client. This function allows businesses to stay in compliance with industry regulations and also reduce risk by deleting old files. With Teams retention policies, you can be proactive in your content management, set retention durations and your own internal policies, as well as organize retention by user or department.   • Skype for Business Integration
    Skype for Business continues to be rolled neatly into the Teams client, heightening the Teams capabilities and retaining the Skype for Business features you’ve come to rely on. Microsoft is actively working to import and arrange Skype for Business contacts into Teams so that your groups maintain their structure without interrupting work flow.  Another major function will help many businesses as they transition from Skype for Business to Teams. As companies upgrade from Skype for Business to Teams, we expect users in some companies to use both apps at the same time. To this end, Microsoft has enabled chat functions from Teams to those who are still solely using Skype for Business, erasing the disparity in communication.
  • New Collaboration Functions 
    The most impactful collaboration update this quarter has been the enablement of guest access, both online and on mobile Teams clients. This means that anyone with a business or consumer email account, such as Outlook.com, Gmail.com or others, can participate as a guest in Teams with full access to team chats, meetings and files, which greatly expands the functionality from only those who have an Azure AD account and allows businesses to employ Teams with more scope for their meetings.
