Q&A with a New Signature Trainer: Calendars, Skype attachments, and email quarantine in Office 365

In a recent training course on the features and productivity benefits of Office 365, a participant asked: “How many calendars could be opened at one time in Outlook 2016 on the desktop, and how many in the web-based interface (Outlook Web Access)?”

The answer to the first part is that, by default, you can open thirty calendars concurrently in Outlook 2016; this figure can be raised using a registry edit as described here. For Outlook Web Access (OWA), you can view a maximum of ten calendars concurrently. You can add more than ten calendars to your list of calendars in OWA, however you can only choose to view ten of them at any one time. More information can be found here.

Another participant on the same course asked: “What is the size limit on uploading files to a Skype for Business meeting room?”

The answer is that you can upload a total of up to 500 MB of files to a Skype for Business meeting room. Once a scheduled meeting has ended, the meeting room exists at the same URL for a further 15 days. Any files uploaded as attachments to the meeting are also available during that period. However, if you use the Meet Now functionality then the meeting room and any attached files only persist for 8 hours after the meeting ends. Further information can be found here.

A third question was asked regarding the quarantine for a user’s email: “At my organization I get a daily email alert with a list of new items in my email quarantine for me to review. What if I want to inspect my email quarantine before that daily email alert arrives?”

If your organization uses email quarantine in Office 365, you can access your own quarantine at any time using the following URL: https://admin.protection.outlook.com/quarantine. If you have many emails in your quarantine, you can use the Advanced Search feature at that URL to search for a specific sender, subject or date of delivery. By default, items placed into the quarantine will be automatically deleted after 15 days.
